How to prepare useful AI training for your team
PRACTICAL GUIDE · TEAM TRAINING
Start with the task, not the tool. A useful workshop gives your team a repeatable way to do a defined job and judge the result.
1. Choose a concrete work situation
Examples: prepare a first draft of a customer reply, summarize an approved document, organize notes into an action list or revise a product description. Specify who uses the result, what a good result looks like and what must never be invented.
2. Match the starting level
- Beginner: explain the request, add context and identify an unreliable answer.
- Intermediate: reuse instructions, compare versions and work through a multi-step task.
- Advanced: document a repeatable workflow, define checks and decide when human review is essential.
Separate groups when their roles or starting levels are very different. Managers may need decision and review exercises rather than the same tasks as a content team.
3. Check tools and access first
Choose from tools the organization authorizes. Confirm accounts, licences, administrative settings and available features before the workshop. Gemini in Workspace and Microsoft 365 Copilot capabilities depend on the applicable environment; a chat interface does not automatically include every app integration.
4. Prepare safe examples
Use fictional, public or expressly authorized material. Remove unnecessary personal and confidential information. Never share passwords or private customer files simply to make an exercise realistic. Your organization’s data rules still apply.
5. Use a simple request structure
Task + context + source material + constraints + output format + review criteria. For example: “Using only this approved product sheet, draft a concise customer explanation. Do not invent specifications. List missing information separately.”
6. Evaluate the result, not only the speed
Check factual accuracy, completeness, tone, unsupported claims and the time needed to revise. Compare the same task before and after practice. A faster draft is not useful if it creates more correction work.
Prepare your training brief
- Participant roles, group size and starting levels.
- One or two priority tasks and authorized examples.
- Available tools, language and preferred format.
- A review method, internal owner and follow-up practice.
